Invitation Practicalities
Sending the invites
Try to send out the invitations 3 to 4 weeks ahead of time. We feel that this is the sweet spot. Anything longer than that and they’ll forget. Anything after that, and they might be busy.
When you send the invites, include a message to the parents on whatsapp/facebook. It will make it a lot easier for you to track who is attending and who isn’t.
RSVPs
Collect the RSVPs digitally. It will make your life a lot easier. For small groups, you might consider collecting ‘regrets’ rather than RSVPs.
Additionally, for peace of mind, consider using an rsvp system. There are plenty of free ones out there.
Templates
After you’ve figured out the wording of your invitations, you’re probably going to want to create the design.
There are loads of places online where you can get great designs for free. If you’re up for a bit of design yourself, check out Canva. They have templates for every theme.
Pro-tip: If you want to get them printed, keep the format as simple as possible. This will make your life a lot easier when looking for a print shop.
